Privacy Policy
How Octiva Healthcare collects, uses, and protects your information.
Last Updated: October 8, 2026
Octiva Healthcare (“we”, “us”, or “our”) is committed to protecting and respecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website www.octivahealthcare.com and when you use our services.
Please read this policy carefully to understand our views and practices regarding your personal data and how we will treat it. By visiting our site or using our services, you agree to this privacy policy.
1. Information We Collect
We may collect the following types of information when you interact with us:
Personal Information
- Contact details: Your name, email address, phone number, and mailing address.
- Medical Information: When applicable, we may collect medical history or healthcare details relevant to providing telehealth services.
- Payment Information: If you make a payment for our services, we collect financial information like credit card numbers or bank details.
Automatically Collected Information
- Technical Data: Includes your IP address, browser type, operating system, and usage data, collected via cookies or similar tracking technologies.
- Website Analytics: The pages you view, how you arrived at our site (for example, a search engine, a link, or a campaign tag), time spent on pages, how far you scroll, clicks on links and buttons such as our phone number, email address, and consultation buttons, whether the contact form was started or submitted (not what you typed), your approximate location (city, region, and country), and your device, browser, and language settings. We collect this with Matomo, an analytics tool that we host on our own website servers, so the information Matomo collects is not sent to an outside analytics company.
- Business Visitor Identification: If you select “Accept” in our privacy choices banner, Leadfeeder (operated by Dealfront) receives your IP address, the pages you visit, and basic device and visit information, and uses your IP address to identify the company or organization associated with the network you are using. We use it only to identify organizations, not individual visitors. See Section 8.
Other Information
- Any other information you provide directly to us through forms, communication channels, or during consultations.
- When you submit our contact form, it also sends us the page where your visit started, the website that referred you (if your browser shares it), any campaign tags in the link you followed, and the pages you viewed during that visit. This visit information is kept only in your browser tab until you submit the form.
2. How We Use Your Information
We use the information we collect in the following ways:
- To provide healthcare services: We use your personal and medical information to deliver telehealth, nursing, and other healthcare-related services.
- To improve our services: Your feedback, usage data, and other details help us enhance our service offerings.
- To communicate with you: We use your contact information to respond to inquiries, schedule appointments, and send relevant updates. We send SMS text messages only to individuals who have separately opted in to receive them - see Section 4, Mobile Information & SMS Communications.
- To understand and improve our website: We use website analytics and business visitor identification to measure how our site is used, learn which content is useful, and understand which organizations are interested in our services so that we can follow up with them.
- For billing and payments: We use your financial data to process transactions for services rendered.
- To comply with legal obligations: We may use your information as required by applicable law, regulation, or legal process.
3. Sharing Your Information
Other than the optional business visitor identification described below, which some state privacy laws, including California’s, may treat as a “sale” or “sharing” of personal information, we do not sell, rent, or trade your personal data. We may share your data with trusted entities in the following situations:
- Healthcare Providers: We may share medical information with doctors, nurses, and other healthcare professionals to provide the necessary care.
- Third-Party Service Providers: We may engage third parties to perform services on our behalf, such as website hosting, contact form processing, IT support, payment processing, or customer service. These third parties are obligated to maintain the confidentiality of your information.
- Business Visitor Identification: If you accept it, we share your IP address, the pages you visit, and basic device and visit information with Leadfeeder (Dealfront), as described in Section 8. Under some state privacy laws, including California’s, this may be considered a “sale” or “sharing” of personal information. It runs only if you accept it, and you can opt out at any time.
- Legal Requirements: We may disclose information if required to do so by law or in response to valid requests by public authorities (e.g., a court or government agency). If we are legally required to share your personal information, we will make reasonable efforts to notify you unless prohibited by law.
4. Mobile Information & SMS Communications
Octiva Healthcare sends conversational, service-related text messages (SMS) from our toll-free number, (866) 405-4951, only to individuals who have opted in to receive them — either by checking the optional SMS opt-in checkbox on our contact form, or by expressly agreeing to receive text messages during a phone conversation with our team. Consent to receive text messages is optional and is not a condition of purchasing or receiving any Octiva Healthcare product or service. Full program details, including message frequency and opt-out instructions, are available in our SMS Terms & Conditions.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors in support services, such as customer service, is permitted. Text messaging originator opt-in data and consent will not be sold or shared with any third party.
You can opt out of text messages at any time by replying STOP to any message. For assistance, reply HELP to any message, email us at info@octivahealthcare.com, or call (888) 788-3541. Message frequency varies (up to 5 messages per inquiry). Message and data rates may apply.
5. Data Security
We have implemented appropriate technical and organizational measures designed to secure your personal information and to prevent unauthorized access, use, alteration, or disclosure. However, please note that no method of transmission over the Internet or method of electronic storage is free of risk.
6. Retention of Data
We will retain your personal information only for as long as necessary to fulfill the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.
Our website analytics stores IP addresses only in shortened form. Detailed analytics records are deleted after 24 months; after that we keep only aggregated reports, such as page view counts, that are not linked to individual visits. Leadfeeder retains the information it receives under its own privacy policy.
7. Your Data Protection Rights
You have certain rights regarding the personal information we hold about you, including:
Access
Request copies of your personal data.
Correction
Correct inaccurate or incomplete data.
Deletion
Request deletion of your data.
Objection
Object to processing of your data.
To exercise any of these rights, please contact us at info@octivahealthcare.com or call (888) 788-3541.
Depending on where you live, including California, you may also have the right to opt out of the sale or sharing of your personal information. You can do this at any time through Your Privacy Choices, linked at the bottom of every page, or by turning on Global Privacy Control in your browser, which we honor. We will not discriminate against you for exercising any of these rights.
8. Cookies, Analytics, and Your Privacy Choices
Cookies are small files stored on your device. Our website uses a small number of cookies and similar technologies:
- Your privacy choice: A cookie named octiva_privacy remembers whether you accepted or declined, for up to 12 months. It is needed for the site to respect your choice.
- Website analytics (Matomo, hosted by us): Before you make a choice, and if you decline, Matomo measures visits without setting cookies. If you accept, it may set first-party cookies (names beginning with _pk_) that help us recognize returning visitors, for up to 13 months.
- Business visitor identification (Leadfeeder): Loads only if you accept and your browser is not sending a Global Privacy Control signal. It sets a cookie named _lfa on our site, and stores related values in your browser’s local storage, to recognize returning visitors for up to 12 months. Leadfeeder’s practices are described in its privacy policy.
Your Privacy Choices
You can accept or decline at any time using the Your Privacy Choices link at the bottom of every page. Declining turns off Leadfeeder and analytics cookies; our cookieless analytics continues to count visits. If your browser sends a Global Privacy Control signal, we treat it as a request to opt out of the sale and sharing of your personal information and do not load Leadfeeder. You can also block or delete cookies in your browser settings.
We do not record your screen or keystrokes, and we do not use advertising or retargeting pixels on our website.
9. Links to Other Websites
Our website may contain links to third-party sites. We are not responsible for the content or privacy practices of those sites. We encourage you to review the privacy policies of any third-party websites you visit.
10. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. We encourage you to review this policy periodically to stay informed about how we are protecting your information.
